TestRail Pricing 2026: Plans, Per-User Costs and Team Examples
TestRail is a test management tool, and its price depends on three choices: the plan, the billing period, and the deployment (Cloud or Server). This guide lists every TestRail plan and price, explains the limits that change what a team actually pays, and works through the cost for teams of 5 and 10 testers. For comparison, it shows the same teams on QA Sphere pricing.
All TestRail prices are from testrail.com/pricing as of October 2026, in USD, per user per month, billed annually unless stated otherwise.
TestRail pricing at a glance (October 2026)
| Plan | Price per user/month (annual) | Monthly billing | Users | Deployment | Storage | API limit |
|---|---|---|---|---|---|---|
| Essentials | $22 | $25 | Up to 5 | Cloud only | 50 GB | 100 requests/min |
| Professional | $39* | $41 | Unlimited | Cloud or Server | 50 GB | 180 requests/min |
| Enterprise | $78 | Not offered (annual only) | Unlimited | Cloud or Server | 500 GB | 300 requests/min |
* TestRail's pricing page text states $38 for Professional. Its price calculator shows $39 per user/month after the 5% annual discount is rounded. This guide uses the calculator figure, because it matches the 12-month totals the calculator shows.
TestRail has no permanently free plan. Every plan includes a 30-day free trial with no credit card required. For 500 or more users, TestRail asks you to contact sales.
Essentials: the 5-user cap
Essentials costs $22 per user/month on annual billing (as of October 2026). It is Cloud only, and TestRail states that it is "only available up to 5 users". When a sixth person joins the team, the team must move to Professional, and the price per seat rises from $22 to $39, which is about 77% more per seat.
Essentials includes:
- All TestRail AI features
- Unlimited projects, test cases, test plans and test runs
- Custom fields and labels, and shared steps
- Traceability and defect reports
- Integrations with Jira, GitHub, GitLab and Azure DevOps
- Data residency options
- REST API at 100 requests per minute and 50 GB of storage
Professional: what you get for $39
Professional costs $39 per user/month on annual billing, or $41 on monthly billing (as of October 2026). It has no user cap and is the lowest plan that is available on-premise (TestRail Server).
Professional adds the following to Essentials:
- Custom user groups and role-based access control
- Project-level integrations for requirements and defects
- Scheduled and emailed reports
- Customizable UI scripts and custom test case templates
- REST API at 180 requests per minute
Enterprise: what the extra $39 per seat buys
Enterprise costs $78 per user/month and is billed annually only (as of October 2026). That is twice the Professional price.
Enterprise adds the following to Professional:
- Single sign-on (SAML, OAuth and OIDC) and multi-factor authentication
- Audit logs and project-level administration
- Test case versioning with review and approval workflows
- Test parameterization and datasets
- Cross-project reporting
- Automatic daily backups with configurable restore
- 500 GB of storage, REST API at 300 requests per minute, and priority support
In TestRail, SSO, MFA, test case versioning, parameterization and cross-project reports are available only on Enterprise. If your security team requires SSO, budget for the Enterprise price.
Annual vs monthly billing
TestRail offers two billing periods:
- Annual billing is paid upfront for 12 months at a lower monthly-equivalent rate. All three plans are available.
- Monthly billing is available for Essentials ($25 per user/month) and Professional ($41 per user/month) only, as of October 2026. Enterprise is billed annually only.
TestRail states that you can add seats or change plans at any time.
TestRail Server (on-premise) license cost
TestRail Server is the self-hosted edition. According to the TestRail pricing page (October 2026):
- It is available on the Professional and Enterprise plans only.
- It requires 10 or more seats and a minimum 12-month contract.
- It runs on Docker, Windows and Linux.
- Configurable backups and restore are included on Enterprise.
TestRail does not publish a Server price on its pricing page. The license cost is quoted by TestRail sales, so request a quote for your seat count before you compare it with Cloud.
What viewers and stakeholders cost
TestRail states that its "pricing is per user". It has a read-only Guest role, but its pricing page lists no viewer tier and no free read-only seat. A product manager, developer or executive who only reads test reports therefore uses a full paid seat, at $22 to $78 per month depending on the plan (as of October 2026).
In QA Sphere, Viewer seats are free and unlimited on paid plans. Only roles above Viewer count toward the per-user price. See Users and Permissions and Billing for details.
Worked examples: 5 and 10 testers
The table shows the monthly cost, with the yearly total in brackets. TestRail figures use annual billing and the yearly totals shown by the TestRail price calculator (as of October 2026). The Essentials calculator total is slightly higher than 12 times the listed $22 rate.
| Team | TestRail Essentials | TestRail Professional | TestRail Enterprise | QA Sphere Standard | QA Sphere Business |
|---|---|---|---|---|---|
| 5 testers | $110 ($1,350/year) | $195 ($2,337/year) | $390 ($4,674/year) | $60 ($720/year) | $120 ($1,440/year) |
| 10 testers | Not available (5-user cap) | $390 ($4,674/year) | $779 ($9,348/year) | $120 ($1,440/year) | $240 ($2,880/year) |
Adding 5 read-only stakeholders
Most QA teams share results with people who do not run tests. The next table adds 5 read-only users to the 10-tester team.
| 10 testers + 5 read-only users | Monthly cost | Extra cost of the 5 read-only users |
|---|---|---|
| TestRail Professional | $585 | $195 per month |
| TestRail Enterprise | $1,169 | $390 per month |
| QA Sphere Standard | $120 | $0 (Viewers are free) |
| QA Sphere Business | $240 | $0 (Viewers are free) |
Teams of up to 3 users can use the QA Sphere Free plan at $0.
